How to choose a school management system in Kenya (2026 guide)

There are dozens of school systems marketed in Kenya, and the sales pages all look similar. The difference shows up after you've paid. Here are the ten questions to ask on the demo call — the ones that separate a system built for Kenyan schools from a generic product with a Nairobi phone number.

1. Is it truly M-PESA native?

Almost everyone claims “M-PESA integration.” Ask specifically: does it do STK Push, Paybill/Till and payment links, and does it reconcile each payment to a student automatically? If reconciliation is manual, you haven't solved your biggest problem.

2. Where does our data actually live?

7. Does it do Kenyan payroll correctly?

If it runs staff payroll, it must handle PAYE, SHIF and NSSF and produce statutory outputs like P9A and P10 and bank EFT files. Foreign systems almost never get Kenyan statutory deductions right.

8. What happens when the internet is down?

9. What does onboarding and support look like?
