How Kenyan schools can collect fees faster with M-PESA

Fee collection is the single biggest administrative headache in most Kenyan schools. Parents pay in dribs and drabs, receipts are written by hand, and by the time the bursar reconciles the bank statement, term is halfway gone. M-PESA can fix almost all of it — if you set it up the right way.

Nearly every parent in Kenya already has M-PESA. The goal isn't to teach them a new way to pay — it's to make their payment land on the right student's account automatically, so nobody has to type it in. There are three ways to collect fees on M-PESA, and a good school uses all three.

1. STK Push — you prompt the parent's phone

This is the classic method: the parent goes to Lipa na M-PESA, enters your school's Paybill or Till number, and puts the student's admission number as the account reference. The payment posts to your account and — with the right system — reconciles to that student automatically.

The magic word is reconciliation. A Paybill number is useless if someone still has to manually match 400 payments to 400 students every week.

To use Paybill or Till for fees, you register for a business number at a Safaricom shop and apply for Daraja API access (Safaricom's developer platform) so payments can flow into your school system. Registration is free; approval takes a couple of weeks.

3. Payment links — send a secure link by SMS or email

The newest and most flexible option: the school sends the parent a secure link (by SMS or email) tied to that student's invoice. The parent opens it, sees exactly what's owed, enters an amount they can pay today, and completes the payment on their phone. No paybill number to remember, no wrong account reference.

This works brilliantly in Kenya's real fee cycle, where parents often pay in instalments as money comes in. A link that stays valid for weeks means no pressure and no lost payment.

The mistake most schools make

The mistake is treating M-PESA as just a place to receive money, and doing the reconciliation by hand afterwards. That's where errors, disputes and “my payment isn't showing” complaints come from. The fix is to connect M-PESA to a system that:
